This policy explains what personal information Tourin’ Tots collects, why we collect it, who we share it with, and what you can do about it. We have tried to write it in plain language rather than legal boilerplate.

What we collect
When you make a booking
- Your name, email address, phone number and billing address.
- The delivery location and pick-up location for your equipment – usually a villa, hotel or condo.
- Contact details for the property manager at your accommodation, so we can arrange access for delivery.
- Where in the property you would like the equipment set up.
- Your rental dates, and your arrival and departure times if you give them.
- Information about the children the equipment is for – typically age, weight and height – so that we supply equipment that fits and is safe. Car seats, in particular, must match a child’s weight and height.
- Anything you choose to write in the optional comments box, and how you heard about us if you tell us.
When you pay
Card payments are handled by our payment providers, CyberSource and PayPal. You enter your card details on their systems, and Tourin’ Tots never sees or stores your full card number.
Automatically, when you visit the site
- Your IP address and basic technical information about your browser and device.
- Information used to detect fraud and block automated abuse, including device characteristics. This is described further below.
Children’s information
Because of what we rent, we ask for some information about your children. We ask only for what we need to supply equipment that fits and is safe to use: usually age, weight and height, and which child will use which item.
We ask you not to include children’s names or any medical information, and there is a note to that effect on the booking form. If you do include information we have not asked for, we will use it only to fulfil your booking.
We do not knowingly collect information directly from children. This information comes from you, the adult making the booking, and we treat it with the same care as your own details.
The information you give us about your children also appears in the scheduling app our delivery team uses on their phones, so they bring and fit the right equipment. It is automatically deleted from that app seven days after your equipment has been collected.
Information about other people
Our booking form asks for the contact details of the property manager at your accommodation. That is information about someone other than you. We use it only to arrange delivery and collection of your equipment, and we do not use it for marketing or keep it for any other purpose. Please only give us details you are comfortable sharing for that purpose.
Why we use your information
- To take, schedule and fulfil your booking – the main reason we hold anything at all.
- To choose equipment that is the right size and safe for your children.
- To deliver, set up, break down and collect equipment at your accommodation.
- To contact you about your booking by email, phone, text or WhatsApp.
- To take payment and to keep proper business and accounting records.
- To protect the business against fraudulent orders.
- To answer enquiries sent through our contact form or by email.
We do not sell your information to anyone, and we do not send marketing email unless you have specifically asked us to.
Who we share it with
We share information only with the services we need to run the business. Each is listed here with what it sees and why.
Our team
We send booking details to a scheduling app built on Microsoft Power Apps, which Tourin’ Tots staff use on their phones to plan and carry out deliveries and collections. Staff using it can see your name, contact details, delivery and pick-up locations, rental dates and the equipment information you have given us about your children. Booking information is automatically deleted from the app seven days after your equipment has been collected. After that, no one can retrieve it from the app, including the business owner. The underlying booking record remains in our website system, which only the business owner can access.
Service providers
- SiteGround – hosts our website and its database.
- Microsoft – provides our email (Microsoft 365) and the Power Apps scheduling app described above.
- CyberSource (a Visa company) and PayPal – process card payments.
- LexisNexis ThreatMetrix – assesses the device used to place an order to help detect fraudulent transactions. This is loaded as part of our card payment processing.
- MaxMind – screens orders for fraud risk using the IP address the order was placed from.
- Cloudflare – protects our checkout from automated abuse, which involves processing your IP address.
- MailerLite – sends our marketing emails to customers who have opted in, and stores those subscribers’ names and email addresses.
- Google – our website loads its typefaces from Google Fonts, which means your IP address reaches Google when a page loads. We also display our Google reviews on the site.
Others
We share information with our accountant and professional advisers where needed to keep proper records, and with the authorities where we are required by law to do so.
Where your information is held
Tourin’ Tots is based in the Cayman Islands. Some of the providers listed above store or process information outside the Cayman Islands, including in the United States and Europe. Where that happens, we rely on those providers’ own contractual protections for international transfers.
How long we keep it
We keep booking and order records for seven years, in line with our accounting and record-keeping obligations, and to deal with any questions or disputes about a booking. Booking information held in the scheduling app used by our delivery team is deleted automatically seven days after your equipment has been collected. Order records held in our website system are not deleted automatically at present.
If you would like your information removed, contact us, and we will delete what we are not required by law to keep.
Keeping it safe
Our website runs over an encrypted connection, access to the WordPress administration area is limited to the business owner, and our payment providers handle payment card details rather than us.
No system is perfectly secure, but we take the security of your family’s information seriously and review it as the business grows.
Your rights
Under the Cayman Islands Data Protection Act, you have the right to:
- Ask what personal information we hold about you and receive a copy of it.
- Ask us to correct information that is wrong or incomplete.
- Ask us to stop processing your information, or to delete it, where we have no legal reason to keep it.
- Object to your information being used for direct marketing, at any time.
- Complain to the Office of the Ombudsman, Cayman Islands, if you are unhappy with how we have handled your information.
If you are in the European Economic Area or the United Kingdom, or you are a California resident, you may have additional rights under the GDPR or the CCPA. We will honour those requests in the same way. Contact us at info@tourintots.com, and we will respond.
Cookies and similar technologies
Our website uses cookies that are necessary for it to work – keeping your basket, remembering your session, and letting you log in. Our fraud prevention and bot protection providers also set cookies or read device information as described above.
We do not use advertising cookies, and we do not run Google Analytics on this site.
Marketing
We do not add customers to a marketing list simply because they have made a booking. When you book, you can tick a box to receive occasional Tourin’ Tots offers and Cayman family travel tips by email. The box is never ticked for you, and ticking it is entirely optional. If you do subscribe, we use MailerLite to send those emails, and every message includes a one-click unsubscribe link. You can also ask us to remove you at any time by emailing info@tourintots.com. Unsubscribing has no effect on emails about a booking you have made, such as your confirmation or delivery reminder, which we will still send.
Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the top.
